What We Collect

When you use HOAAppeal, we collect:

• Email address — to deliver your dossier and match forwarded emails to your case
• Name — optional, used to personalize your response letter
• Situation description — your written account of the dispute
• Documents — HOA governing documents, denial letters, emails, photos, or other files you upload, paste, or link to
• Forwarded emails — emails you send to submit@hoaappeal.com

How We Use Your Data

Your data is used for one purpose: building your Dispute Dossier.

• Your documents and situation are sent to Anthropic's Claude API for analysis
• Before sending to the AI, we redact personally identifiable information including names, email addresses, phone numbers, and street addresses
• Your dossier results are stored in our database so you can access them later
• We do not sell, rent, or share your data with third parties for marketing purposes
• We do not use your documents or disputes to train AI models

Third-Party Services

We use the following services to operate HOAAppeal:

• Anthropic (Claude API) — processes your documents and generates your dossier. Anthropic's API does not use your inputs to train their models. See Anthropic's privacy policy.
• Stripe — processes payments. We never see or store your credit card number. See Stripe's privacy policy.
• Supabase — hosts our database where your dossier and case information are stored.
• Vercel — hosts this website.
• SendGrid — receives emails you forward to submit@hoaappeal.com.

PII Redaction

Before your documents are sent to the AI for analysis, we automatically strip personally identifiable information including names, email addresses, phone numbers, Social Security numbers, and street addresses. These are replaced with generic tokens (e.g., [HOMEOWNER], [ADDRESS]). After the AI generates your dossier, we reinsert your information into the final output. This means the AI never processes your real personal details.

Payment Information

All payments are processed by Stripe. Your credit card number, expiration date, and CVC are sent directly to Stripe and never touch our servers. We only receive confirmation that payment was successful, along with a transaction ID. We do not store any payment card information.

Data Retention

Your dossier and case information are stored indefinitely so you can return to access them. If you want your data deleted, email us at support@hoaappeal.com and we will remove all data associated with your email address within 30 days.

Cookies

We do not use tracking cookies or analytics. We do not run ads. Stripe may set cookies necessary for payment processing.

California Residents (CCPA)

If you are a California resident, you have the right to:

• Know what personal information we collect and how it is used
• Request deletion of your personal information
• Opt out of the sale of your personal information (we do not sell your data)

Children

HOAAppeal is not intended for use by anyone under 18. We do not knowingly collect information from minors.

Changes to This Policy

We may update this privacy policy from time to time. Changes will be posted on this page with an updated date. Your continued use of HOAAppeal after changes constitutes acceptance of the updated policy.
